What is Visual Voicemail?

Visual voicemail is a telephony feature of modern business phone systems and communications solutions. It automatically transcribes voicemail messages for you to read at your leisure or have sent straight to an inbox, so you never have to miss a vital message.

 

The Vonage Visual Voicemail® add-on is an easy-to-set-up addition to Vonage Business Communications that turns your voicemail into readable copy. Once Visual Voicemail is enabled on an extension, you can access your voicemail transcripts on your Desktop or Mobile apps, with no further setup required. By enabling Voicemail to Email, too, you can also get the transcript and audio file of a message sent straight to your inbox.

How does Visual Voicemail work?

Traditionally, when someone leaves you a voicemail, you get a message telling you it’s there, and then you have to seek it out and listen to it. Setting up visual voicemail capabilities as part of a business communications solution like VBC makes things so much simpler.

 

When you receive a voicemail on your extension, our automated system transcribes it quickly and accurately. With no further setup required, you can then view and read the transcript through the Vonage Desktop or Mobile app. Even if you’re in a meeting or unable to listen to a message, you can still get all the vital information straight away.

 

Enable Voicemail to Email, too, and you can also have voicemails wing their way direct to your inbox. The transcription appears in the body of the email, along with the phone number and an attachment of the recorded message as an audio file.

Traditional voicemail is when someone leaves you an audio message which you can then access and listen to on your phone or otherwise through your business phone system. You can only get the information left in the message by listening to it, and you can only listen to one message at a time. It’s also often awkward to more widely share or pass on traditional voicemail messages. 

With visual voicemail, when someone calls and leaves an audio message, it gets automatically transcribed. The written transcript is then available to view and read at your leisure. That makes the information accessible in scenarios where you may not be able to listen to audio. You can also view multiple transcripts at once, making it easier to parse and prioritize messages. It’s much more straightforward, too, to forward written transcripts — especially those delivered via email — to colleagues, employees, and other contacts.

 

In a business context, visual voicemail is extremely useful for fostering more efficient communication and collaboration across an organization. By turning voicemails into easy to read and share transcripts, visual voicemail aids in quick and accurate knowledge sharing between your teams and colleagues. 

Say, for instance, that a key client leaves a voicemail for their account manager at your company, but that manager is in a meeting. With visual voicemail, they could see and scan the message, and forward it to someone who is free to respond immediately — all without disrupting their current meeting. The client gets a better service from your company than if they had to wait for their account manager to be free to check their voicemail the old-fashioned way.

 

Vonage Visual Voicemail is an easy-to-access add-on to Vonage Business Communications (VBC). If you’re not yet a VBC user, you can check out the available VBC plans and choose the one that’s right for you. Vonage Visual Voicemail is a managed service —  VBC Super Users and Administrators can add or set up Visual Voicemail and can enable it for any and all extensions. You purchase as many licenses as needed, one per extension.

To add Visual Voicemail, head to the Vonage Admin Portal, and then choose Store and Add-Ons. Follow the on-screen prompts to add Vonage Visual Voicemail, then select the Cart and Checkout.

The Visual Voicemail setup process could hardly be easier or more intuitive, either. Head to the Vonage Admin Portal and then choose Phone System and then either Extensions, Call Groups, or Call Queue, depending on how and for whom you wish to set up Visual Voicemail. Then, hover over the relevant extension, call group, or call queue, and select the Pencil icon. Choose Voicemail and then follow the instructions to enable Visual Voicemail and/or Voicemail to Email.

Voicemail to Email automatically sends a recording of the voicemail to your email inbox. Visual Voicemail adds to that, including a text transcription of the voicemail that you can read on any device — either via email or directly in the Vonage Desktop and Mobile apps.
